DUTIES INCLUDE BUT ARE NOT LIMITED TO:

FRONT RECEPTION
 Greet patients in a professional, courteous, and prompt manner
 Register patients (in person or by phone) in the most efficient manner with accuracy and completeness
 Ensure that a patient’s overall visit is comfortable and exceptional care is provided
 Follow up with patients with any appointments, lab results and doctor communication
in a timely, accurate and complete manner
E.g.Calling patients with specialist appointment information or to notify them to return to the
clinic for test results

PHONE DUTIES
 Answer phone professionally before 3rd ring, and courteously put on hold, if necessary
 Assist caller with inquiry and redirect message to appropriate person
 Check voice mail as required to ensure all messages are addressed
 Contacting specialist offices, or affiliate health services providers for referral
appointments

PATIENT SCHEDULING & FOLLOW UPS
 Schedule patients using scheduling software
 Ensure day is balanced with appropriate patient appointments
 Ensure all patient data is accurately entered into EMR software
 Contact patients to confirm appointments

PHYSICIAN SUPPORT SERVICES
 Clean the consulting room before and after each appointment
 Stock the consulting rooms with supplies daily
 Clean, pack, and sterilize (using autoclave) instruments in preparation for appointments
 Accompany patients into exam rooms and prepare patients for any exams or procedures under the supervision of the physician
 As required, set the consulting rooms for pap exams and physical exams (print labels, have lab requisitions ready, label the swabs and pap slide, give patient a gown to change, take height and weight etc.)
 As required, process any urinalysis or pregnancy tests or other in-clinic tests

BILLING AND ADMINISTRATION
 Check patient’s eligibility with MSP prior to registration
 Complete physician billing accurately and submit to Medical Services Commission using EMR
 Complete private billings for non-MSP patients and issue invoices
 Ensure WCB forms for patients are complete with regards to injury at work place
 Process debit/credit card transactions, as required
 Complete claims/pre-approvals and mail on the day of patients visit, as required
 Liaise with ministry or insurance companies regarding claims, as required

WORK SPACE AND FILING
 Keep work space professional, clean and tidy at all times
 Keep filing up to date and ensure that files are stored securely in appropriate areas

GENERAL TERMS OF EMPLOYMENT
 Must be able to handle fast paced office environment with many competing demands
 May require to cover additional shifts or work over time occasionally

REQUIREMENTS OF THE POSITION
 MOA certification or accepting practicums as well
 Minimum 1 year of MOA experience in similar position
 Superior communication skills and command of the English language (other languages considered an asset)
 Proficient with computers and software including: Microsoft Office, EMR
 Able and willing to learn new software and technologies
 Able to multitask
 Ability to work independently or as a team
